Have you received multiple Letters of Authorisation during your eHerkenning application? If so, your organisation likely has joint signing authority or another authority structure that requires multiple approvals.
Who must approve your application depends on the signing authority registered for your organisation in the Dutch Trade Register (KvK).
Why did I receive multiple Letters of Authorisation?
With joint signing authority, representatives cannot act independently on behalf of the organisation. As a result, multiple representatives may need to approve your application.
The number of required approvals depends on:
- the eHerkenning level being requested;
- the number of representatives;
- the authority registered in the Dutch Trade Register.
Which rules apply when approving an authorisation?
The eHerkenning Trust Framework defines the approval requirements for an eHerkenning authorisation based on the authority registered in the Dutch Trade Register and the requested assurance level.
eHerkenning Level 2+
| Authority in Trade Register | Requirement |
|---|---|
| Legal representative with full authority, independent authority, or power of attorney | No additional approval required |
| Legal representative with joint signing authority | At least two representatives with joint signing authority |
| Legal representative with limited authority or limited power of attorney | At least two representatives with limited authority or limited power of attorney |
| Legal representative with limited authority or limited power of attorney for eHerkenning | Explicit eHerkenning authorisation must be registered in the Trade Register |
eHerkenning Level 3
| Authority in Trade Register | Requirement |
|---|---|
| Legal representative with full authority, independent authority, or power of attorney | No additional approval required |
| Legal representative with joint signing authority | Majority of representatives with joint signing authority (half plus one) |
| Legal representative with limited authority or limited power of attorney | Majority of representatives with limited authority or limited power of attorney (half plus one) |
| Legal representative with limited authority or limited power of attorney for eHerkenning | Explicit eHerkenning authorisation must be registered in the Trade Register |
eHerkenning Level 4
| Authority in Trade Register | Requirement |
|---|---|
| Legal representative with full authority, independent authority, or power of attorney | No additional approval required |
| Legal representative with joint signing authority | All representatives with joint signing authority |
| Legal representative with limited authority or limited power of attorney | All representatives with limited authority or limited power of attorney |
| Legal representative with limited authority or limited power of attorney for eHerkenning | Explicit eHerkenning authorisation must be registered in the Trade Register |
If you, as the applicant, are one of the representatives whose approval is required, your own approval counts towards the required total.
These requirements are defined by the eHerkenning Trust Framework and apply to all recognised eHerkenning suppliers.
Do all Letters of Authorisation need to be signed?
Yes. All Letters of Authorisation generated for your application must be completed.
Each letter must be signed by the person named at the top of that letter.
⚠ Digidentity cannot manually change the required signatories
Letters of Authorisation are generated automatically based on the authority registered in the Dutch Trade Register.
We cannot add, remove, or replace representatives based on additional documents, declarations, or internal arrangements.
If the registered information is incorrect, your organisation must first update the registration with the Dutch Chamber of Commerce (KvK). Once the change has been processed, new Letters of Authorisation can be generated.
