On this page, you can find all information about managing employees for eHerkenning. As an eHerkenning company administrator, you can invite employees and assign the required services afterwards, or you can invite users in bulk with the correct services pre-assigned.

Please note: if multiple users within an organisation require eHerkenning, they can also start a registration independently. In that case, they must enter the correct company details and, if applicable, a coupon code during the registration process. When users are invited by a Company Administrator, these steps are handled automatically, which is why this option is preferred.
How do I invite individual users for eHerkenning?
You can easily log in to the Self Service Portal to invite users. This process includes steps for you as the administrator and steps for the users themselves.

Step 1: The eHerkenning administrator invites users
First, you as the administrator must invite your users. Follow the steps below.
- Go to the Self Service Portal on your computer and log in.
- Click on the company.
- Click the tab ‘Users’.
- Click ‘Invite users’.
- If you have a coupon code, enter it and select the desired product. Click ‘Continue’.
- You can now enter up to 250 email addresses of the users you want to invite. Click ‘Continue’.
- Click ‘Send invitations’.
Step 2: The user accepts the invitation
The user can now continue. Once you have sent the invitation, the user receives an email and can follow the steps below.
Open the email on your computer and click ‘Start registration’. Didn’t receive the email? Click here.
- Enter your email address and create a password. Accept the terms and click ‘Create account’.
- Enter the verification code.
- You will now access the product registration. Click ‘Start registration’. Not seeing this screen? Ask your company administrator for a new invitation.
- Follow all steps until you reach Step 7: Request Authorization.
- Step 7: Request Authorization
- At Step 7, you will see a message indicating that your authorization must be approved by the company administrator. You can now close the window.
Step 3: The eHerkenning administrator approves the authorization
Once the user reaches Step 7, you will receive an email requesting approval of the authorization.
- Go to the Self Service Portal on your computer and log in.
- Click on the company.
- Click the tab ‘Users’.
- Click on the user.
- Click on the authorization under the ‘Authorizations’ tab.
- You will now see an overview of all services within the eHerkenning stelsel. Select the desired services and click ‘Approve’.
The user is now approved and can use their eHerkenning immediately.
Invite users in bulk
You can set up and modify authorizations per employee, but you can also invite employees in bulk with the desired services.
First, create a Role in the Self Service Portal and select the services belonging to that role. When you invite employees, you can assign the role immediately so that the associated services are automatically enabled.
A role contains one or more services. You can assign multiple roles to each employee.

Step 1: Creating a role
First, you must create one or more roles. Follow the steps below:
- Go to selfservice.digidentity.eu and log in.
- Click on the company.
- Click ‘Roles’.
- Click ‘New role’.
- Select a catalog (for eHerkenning, select eHerkenning).
- Create a name for the role (for example: ‘Insurance’).
- Add a role description (optional but recommended).
- Search for the desired services and select them.
- Click ‘Save’.
The role is now created.
Step 2: Inviting users with the desired roles
After creating the role, you can invite users for eHerkenning with the desired roles.
- Go to the Self Service Portal on your computer and log in.
- Click on the company.
- Click the tab ‘Users’.
- Click ‘Invite users’.
- If you have a coupon code, enter it and choose the desired product. Click ‘Continue’.
- You can now enter up to 250 email addresses. Click ‘Continue’.
- Select the desired roles. Click ‘Roles: None’ to choose and confirm.
- Click ‘Send invitations’.
The invitations have now been sent. The user can continue.
Step 3: The user accepts the invitation
After you send the invitation, the user receives an email and can continue with the steps below.
- Open the email on your computer and click ‘Start registration’. Didn’t receive the email? Click here.
- Enter your email address and create a password. Accept the terms and click ‘Create account’.
- Enter the verification code.
- Click ‘Start registration’. Not seeing this screen? Ask your administrator for a new invitation.
- Follow all steps until you reach Step 7: Request Authorization.

- At Step 7, you will see a message stating that your authorization must be approved by the company administrator. You can now close the window.
Step 4: The eHerkenning administrator approves the authorization
You will receive an email asking you to approve the authorization once the user reaches Step 7.
- Go to the Self Service Portal on your computer and log in.
- Click on the company.
- Click the tab ‘Users’.
- Click on the user and approve the authorization. The user will automatically receive the correct roles.
Modify authorisations for employees
You can modify authorizations per employee, but you can also edit them in bulk.
First, create a Role and select the services that belong to it. When you invite employees, you can assign this role immediately. The associated services will be automatically enabled.
When you later modify the role, the changes will automatically apply to all employees assigned to this role.

- Click on the company.
- Click ‘Roles’.
- Click ‘New role’.
- Select a catalog (for eHerkenning, select eHerkenning).
- Create a name for the role.
- Add a role description.
- Select the desired services.
- Click ‘Save’.
The role is now created.
Step 2: Assigning roles to users in bulk
After you have created the roles, you can assign them to the appropriate employees.
- Go to the Self Service Portal on your computer and log in.
- Click on the company.
- Click the tab ‘Users’.
- Select the users you want to update by checking the box next to their name.
- A yellow ‘Actions’ button will appear at the bottom of the screen.
- Click ‘Actions’ and select ‘Assign roles’.
- Select the desired roles and click ‘Assign roles’.
The roles of the selected users have now been updated.
Exporting an overview of all products and users
In the Self Service Portal, you can export an overview of all users and their assigned products and roles. Follow the steps below to generate a .csv export.

Follow the steps below to generate and download a .csv overview.
- Go to selfservice.digidentity.eu and log in.
- Click on the company.
- Go to the ‘Users’ tab.
- Click ‘User report’.
- Click ‘Create report’.
- The report will be generated. This can take up to five minutes. The report will be stored for two weeks.
- Wait a moment and click ‘Download’ once the report is ready.
Can I see individual services in the .csv report?
No, the report does not show individual services per user. You can only see which roles users have. If you want to know which services users have at a glance, create the desired Roles and assign them to your employees.
Can an employee start their own registration?
Yes. An employee can start their own eHerkenning registration. Once they reach Step 7, you as the administrator will receive a request in the Self Service Portal to approve or reject the authorization.

Inviting users on behalf of multiple companies
If an employee needs to log in on behalf of multiple companies, and you are also the administrator of those entities, you can switch accounts and send the user a new invitation. It is not possible to send an invitation for multiple companies at once.
Follow the steps below to switch companies when you are logged in.
Switching companies and sending invitations
- Click ‘Switch’ in the upper right corner.
- Select another company.
- Repeat the invitation steps for this entity.
