As a Company Administrator, you can invite employees for eHerkenning either with or without a role.
If you invite a user without a role, they will receive all authorisations by default. If you invite a user with a role, they will only receive the authorisations linked to that role. Roles must be created in advance.
After registration, you can still change a user’s access by assigning roles or by modifying an individual user’s authorisations.
Best practice: create roles with predefined authorisations and assign these during the invitation process to ensure users receive the correct access from the start.
Important
- These steps do not apply to chain authorisations.
- If no role is assigned during the invitation process, the user will receive all authorisations by default.
Invite users without a role
Use this option if the user should receive all authorisations by default.
- Go to the Self Service Portal and log in.
- Select your company.
- Go to Users.
- Click Invite users.
- Enter the email address(es).
- Do not assign a role.
- Send the invitation.
The user completes the registration via the invitation email. Once they reach the authorisation step, you, as the Company Administrator, can approve the authorisation in the Self Service Portal.
After approval, the user can use eHerkenning immediately.
Invite users with a role
Use this option if the user should only receive specific authorisations.
Step 1: Create a role
- Go to the Self Service Portal and log in.
- Select your company.
- Go to Roles.
- Click New role.
- Select the required services.
- Save the role.
Step 2: Invite the user
- Go to Users.
- Click Invite users.
- Enter the email address(es).
- Select the appropriate role.
- Send the invitation.
The user completes the registration via the invitation email. Once they reach the authorisation step, you, as the Company Administrator, can approve the authorisation in the Self Service Portal.
After approval, the user can use eHerkenning immediately and is assigned the role and authorisations defined by you during the invitation process.
Can I invite users for multiple organisations?
Yes, but only one organisation at a time and only for organisations for which you are Company Administrator.
- Click Switch in the top right of the portal.
- Select the other organisation.
- Repeat the invitation steps for that organisation.
